Managing Change.
Effective change management is critical to the successful outcome of a large project like implementing regulatory compliance activities. The change project should be implemented in an effective and easy way so that the change process ensures that each change process is properly defined, considered and approved before implementation.
Quite often large projects fail or get complicated underway, because adequate change procedures are not implemented. This is also the case for implementing changes to IT processes where vital IT security issues are overseen, when performing the change procedure. Under normal circumstances a regular Change management process is in four stages:
- Proposing a procedural amendment
- Provide a summary of the change impact
- Decision based on facts and IT issues
- Implementing the change
Be open to ensure that the necessary coaching, training, advice, process evaluation and templates to implement an effective change process for the organization or the project are understood and available.
Propose a change
Anyone within the team can propose a change to a project, that often is broken down in various implementation stages. The proposal must include a description of change and expected benefits or other reason for change. Develop a Change Request Form that include the 4 stages described above.
Impact Summary
The project manager who will log the change and assess the overall impact on the project carries out this procedure. The following can be considered:
- Quantify the cost savings
- Describe the benefits
- What are the risks
- Thresholds and time lines
- Additional resources required
- What are the impact to related projects
- What are the impact to other procedures or activities
Based on the performance and assessment of the above issues, the project manager can make a recommendation to implement or discard the change.
Assessment
Assess and analyse the change request and consider the vital information provided by the person initiating the request with the project manager. The result is either to accept, reject or ask for additional information.
Implementing a Change
If the change is approved it is ready for implementation and recorded in the change log.
